This policy explains how the Svayam Incarnation group (“Svayam”, “we”, “us”, “our”) handles personal data when you use this website, contact us or apply to work with us. The group has two registered companies:

The company responsible for your data (the “controller” under UK data protection law, or the “data fiduciary” under Indian law) depends on where you are. If you are in India, or you contact us through svayam.in about our Indian brands, it is Svayam Incarnation Private Limited. If you are in the United Kingdom or anywhere else, it is Svayam Incarnation Limited. Where both companies use your data together, for example to assess an application, each is responsible for its own use.

Information We Collect

Information you give us

  • Contact form: your name, organisation, job title, email, phone number, country and your message.
  • Job and internship applications: your name, email, phone number, country and city, the role or field you are interested in, a link to your CV or portfolio, your work experience, education, skills, languages and any optional details you choose to share, such as gender.
  • Emails and other messages you send us.

Information collected automatically

  • Technical data such as your IP address, browser and device type, and server logs that keep the website running and secure.
  • An approximate country, read from your connection, used only to pre-fill the country field in our forms.
  • Analytics data from Google Analytics, only if you accept analytics cookies.
  • Bot protection signals processed by Cloudflare Turnstile when you submit a form.

How We Use It and Our Lawful Bases

  • To reply to your message and follow up on your enquiry. UK GDPR: our legitimate interests in answering people who contact us, or steps you ask us to take before a contract. India: your consent, given when you submit the form.
  • To assess job and internship applications and contact you about them. UK GDPR: steps you ask us to take before a possible contract, and our legitimate interests in recruiting. India: your consent, which you give with the consent box on the form.
  • To protect our forms from spam and abuse using Cloudflare Turnstile and rate limits. UK GDPR and India: our legitimate interest in keeping the website secure, and, in India, a legitimate use permitted by law.
  • To understand how the website is used through Google Analytics. UK GDPR and India: your consent, given in the cookie banner.
  • To meet legal obligations, such as keeping records or responding to lawful requests from authorities.

We do not use your data for automated decisions that have legal or similarly significant effects on you. We do not sell or rent personal data.

Cookies and Analytics

We use essential cookies and browser storage to run this website, for example to remember your cookie choice. With your permission, we also use Google Analytics cookies to understand how the website is used and improve it. Analytics cookies are not set until you choose “Accept all cookies” in the cookie banner. If you choose “Necessary only”, they are not used. You can change your choice at any time by clearing this site's data in your browser, which will show the banner again.

Cloudflare Turnstile checks that a form is being submitted by a person and not a bot. To do this, Cloudflare processes information such as your IP address and browser signals. It is used only for security.

Who We Share It With

We share personal data only where needed, with:

  • The other Svayam company named above, where needed to answer you or assess your application.
  • Service providers who act on our instructions: website hosting, email delivery, Cloudflare (security and bot protection) and Google (analytics, only with your consent).
  • Professional advisers, and government or legal authorities where the law requires it.
  • A buyer or successor if all or part of our business is reorganised or sold, under the same protections.

We do not sell or rent personal data.

How Long We Keep It

  • Contact messages: for as long as needed to deal with your enquiry and any follow-up, then deleted.
  • Applications: for as long as needed for the recruitment process. If you ask us to keep your application for future roles, we keep it for that purpose until you ask us to delete it, and we review it regularly.
  • Analytics data: for the retention period set in Google Analytics.
  • Records we must keep by law: for the period the law requires.

We protect data with encryption in transit (HTTPS), access controls and trusted providers.

International Transfers

We work across the United Kingdom and India, and some of our service providers operate in other countries, including the United States. When personal data leaves the UK, we use safeguards recognised under UK law, such as adequacy regulations or the International Data Transfer Agreement or Addendum. When personal data leaves India, we transfer it only as permitted under the Digital Personal Data Protection Act 2023 and any rules made under it.

Your Rights

If you are in the United Kingdom

  • Access a copy of your personal data.
  • Correct data that is wrong or incomplete.
  • Ask us to delete your data, or to restrict how we use it.
  • Object to our use of your data based on legitimate interests.
  • Receive your data in a portable format, where this applies.
  • Withdraw your consent at any time, without affecting earlier use.
  • Complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk. We would appreciate the chance to resolve your concern first.

If you are in India

  • Get a summary of the personal data we process and how we process it.
  • Correct, complete, update or erase your personal data.
  • Withdraw your consent at any time, as easily as you gave it.
  • Nominate another person to exercise your rights in case of death or incapacity.
  • Raise a grievance with our Grievance Officer, and if it is not resolved, complain to the Data Protection Board of India.

This website is not intended for children. If you are under 18, please involve a parent or guardian before sending us your details.
